Terms & Conditions

These terms explain how traders, trader administrators and visitors can use Tropsi and the services provided through the platform.

1. About Tropsi

Tropsi provides self-service trade websites, optional CRM tools, customer portal workflows, quote and invoice tools, job scheduling, payment links, receipt/review emails, accounting exports, media uploads and related digital tools for tradespeople. Tropsi is a trading name of Vasprenza Systems Ltd, registered in England and Wales under company number 17202889.

2. Who these terms apply to

These terms apply to traders, trader administrators, authorised users and public visitors who access Tropsi websites, trade pages, dashboards, forms or services.

3. Trade accounts and administrator access

Traders are responsible for keeping admin login details secure, completing security checks where required, choosing suitable administrators, removing access when people leave, and ensuring that website, CRM, quote, invoice, payment and customer information entered through the dashboard is accurate and lawful. CRM tools may only appear in the dashboard where they have been enabled for that trader website.

4. Subscription, trial and payments

Tropsi subscriptions are currently billed at £20 per month for each trader website, unless a different price is shown at checkout or agreed in writing. The subscription includes the public website, admin access and CRM tools when requested, but CRM tools are not automatically enabled for every trader website. New self-created websites may receive a cardless trial before paid billing begins. After the cardless trial, the website may pause until the trader adds card details and starts the paid subscription through Stripe.

5. CRM tools and website-only setup

CRM tools are included in the Tropsi subscription but are activated on request. If a trader asks for a website-only setup, or confirms that they do not want to use CRM tools yet, Tropsi may provide website and website-admin features only until CRM access is requested. Website-only setup does not reduce the subscription price unless a different price is agreed in writing. The trader can request CRM activation at any time during an active subscription, and activation may require setup, onboarding, business details or configuration before the CRM tools are made available.

6. Trade content and permissions

Traders are responsible for all content they upload, send or publish, including logos, photos, customer details, service details, accreditations, customer communications, quotes, invoices, job notes, completion photos, review links and payment information. Traders must only upload content they own or have permission to use.

7. Availability and support

Tropsi aims to provide a reliable service, but we do not guarantee uninterrupted availability. Maintenance, third-party outages, hosting issues, payment provider issues or internet problems may affect access from time to time.

8. Suspension or termination

We may suspend or restrict access where payment is overdue, misuse is suspected, content appears unlawful, security is at risk, or these terms are seriously breached.

9. Liability

Tropsi is provided as a trade website, CRM and administration platform. To the fullest extent allowed by law, we are not responsible for indirect losses, lost profits, reputational damage, incorrect trade content, accounting decisions, missed jobs, customer disputes, or issues caused by third-party services such as hosting, email, payment or database providers.
